Pre-Event Preparation Guide: Even When the Unexpected Happens

Real events happen in real venues, where Wi-Fi can drop, power can be limited, hardware can glitch, cables can fail after heavy use, or external services can have occasional issues. 1. Create and Fully Test Your Event Well in Advance

  1. Log into your Touchpix dashboard and build the complete event with branding, overlays, effects, sharing options, music, and custom templates.
  2. Download the event to your device and run several full test sessions, ideally with real people. This helps verify the entire flow, including capture, effects, and sharing.

2. Prepare Your Devices and Hardware

  • Device basics: Update to the latest compatible iPadOS or Android version. Close background apps and leave at least 20 GB of free storage. High-resolution 360 videos and upload queues take up a lot of space — performance can start to suffer below 3–5 GB.
  • Power and cables: Fully charge all devices. Bring the original charging cable plus at least one spare (cables wear out internally with repeated use and can stop working unexpectedly). Include a reliable power bank or extension setup, since booths draw significant power and venues don’t always have convenient outlets.
  • Camera and spinner: For GoPro (7–13) or DSLR (Canon, Nikon, Sony) setups, test the full connection, batteries, tethering, and memory cards. Pack spare batteries and cards.

Many operators also pack basic tools: zip ties, gaff tape, extension cords, and a multi-tool.

3. Internet & Connectivity: Plan for Unreliable Venue Wi-Fi

Venue Wi-Fi is a frequent challenge — it may work during setup but slow down or drop when many guests connect their phones.

Practical recommendations:

  • Bring your own reliable cellular hotspot or travel router as the main connection. Don’t rely only on the venue network.
  • If possible, ask the venue for Wi-Fi details in advance and run a speed test.
  • Once connected to your chosen network, disable Auto-Join for all other networks on the device to prevent automatic switching.
  • Consider turning off mobile data when using local Wi-Fi to avoid interruptions.

4. Backups, Redundancy & Realistic Reliability

However, no digital service is 100% guaranteed all the time. Cables can fail, devices can drop, power can fluctuate, or external factors (networks or infrastructure) can cause issues. That’s why many experienced operators keep a secondary rival app ready as a quick backup plan — it may not be needed often, but it helps protect your business and reputation.

Simple redundancies that help:

  • Spare cables, chargers, and a second device with Touchpix already set up.
  • A printed or saved copy of your event settings and key client contacts.
  • USB export or local gallery as a manual fallback.

5. Communicate Clearly with Clients and Venues

Before the event, have a straightforward conversation with the client or venue coordinator. Key questions to ask:

  • Where are the power outlets near the booth location?
  • What are the Wi-Fi details, and is it okay to use your own hotspot?
  • Any restrictions on space, lighting, setup time, or noise?
  • Who is the on-site contact if something needs a quick reset?

Consider adding clear clauses in your contracts that set realistic expectations. For example, guarantee core photo and video capture plus local delivery to guests, while noting that digital sharing and uploads depend on network conditions and will queue for later delivery. This accounts for the many variables that can affect any service — from hardware issues to external interruptions — and helps protect both you and the client.

Be prepared with multiple sharing methods, as SMS, WhatsApp, or email delivery can sometimes be delayed or blocked by carriers.

6. Day-of Final Checklist (30–60 Minutes Before Guests Arrive)

  • Arrive early and complete setup.
  • Connect to your hotspot or verified network and do one final sync.
  • Run 3–5 full test sessions (capture, sharing, and printing if used).
  • Enable Guided Access (or your device’s lock mode) so guests stay inside the app.
  • Check lighting, backdrop alignment, and camera settings.
