How to program your event for a drop off
Maximizing Your License with the New Event Scheduling Functionality
In this article, we’ll explore the functionality that allows you to schedule an event’s start and end dates. This feature enhances your license’s flexibility by ensuring that only active events count toward your limit.
Why This Matters
Previously, events remained active from the moment they were set up until they were fully closed, including the time required for photo uploads and event wrap-up. This meant that if you had a license with a set limit—such as 4 events for the regular plan, 8 for the pro plan, or 12 for the enterprise plan—you had to be mindful of how many events were in use at any given time.
With the new scheduling system, events only count toward your license limit when they fall within their designated start and end times. Outside these hours, the event is not considered active, freeing up slots for other scheduled events.
How This Benefits You
This new approach gives you greater control over event allocation. For example, if you have a regular license (4 events), you can now schedule:
- 4 events from 10 AM to 2 PM
- Another 4 events from 6 PM to 10 PM
Under the old system, this setup wasn’t possible because events remained active from drop-off to return, limiting how many could be scheduled in a single day. Now, events are only considered “active” during their assigned time slots, making it easier to optimize event scheduling.
Pre-Event Testing and Post-Event Processing Without License Restrictions
One of the biggest advantages of this feature is the ability to test and finalize an event without using up your license slots.
- You can now configure and test the event in advance without it being counted as active.
- Once the event reaches its end time, it will automatically deactivate, meaning the device running the event will no longer be able to start new sessions.
- After the event ends, you can still upload photos and complete post-event tasks without worrying about exceeding your license limit.
How to Set Up Event Scheduling
The start and end times can be configured directly from the Event Manager when creating an event. Be aware, that once you create the event the start and end times cannot be modified. Simply duplicate the event and delete the undesired event from the list. If you’ve already started setting up that event, close it first, duplicate it, and then delete it.
Important Considerations
- Ensure the end time is correct before starting the event. Once the event reaches the end date, the device will no longer allow new sessions.
- Any mistakes in scheduling the event’s duration could disrupt your workflow, so double-check your settings before finalizing.
Final Thoughts
This new scheduling functionality provides a more efficient way to manage your events, ensuring that you maximize the usage of your license while allowing for pre-event testing and post-event processing without restrictions. By strategically scheduling event times, you can host more events within the same license limits and improve overall efficiency.
